Administrative Specialist

Responsible for the receipt, registration, circulation, archiving, and ledger management of various company documents (notices, correspondence, reports, contracts, etc.), ensuring timely document flow and traceability.

Assist in collecting, initially reviewing, and organizing employee reimbursement documents, ensuring invoice compliance and complete information, and submit to the finance department in accordance with procedures.

Assist the finance department in organizing, archiving, and maintaining financial vouchers such as contracts, invoices, and receipts.

Assist the HR department in employee-related management and help interpret local U.S. labor policies.

Assist the sales team in formatting, printing, sealing, scanning, and archiving sales documents such as contracts, quotations, and authorization letters.

Assist in organizing customer files, including basic customer information, contract records, and correspondence, to support the sales team's customer management.

Assist in handling daily administrative requests from the sales team, such as business card printing, sample shipping, and meeting room reservations.

Complete other temporary administrative tasks assigned by superiors.

Associate degree or above, no specific major required.

At least 2 years of work experience in administration, secretarial, or related roles; experience in cross-departmental support is preferred.

Proficient in Microsoft Office suite (Word, Excel, PPT); basic data entry and statistical skills required; experience with OA, ERP, or CRM systems is preferred.

Detail-oriented, rigorous, strong sense of responsibility, good communication and coordination skills, and service-oriented mindset.

Strong awareness of confidentiality, able to handle sensitive information appropriately; capable of working under pressure and managing multiple tasks simultaneously.
